Right Intent SI LLC (“we,” “us”) runs Book Keeper (also written BookKeeper), the bookkeeping service at https://igoquick.com (the “Service”). This policy explains, in plain English, what information we collect, why, who we share it with, how long we keep it, and the choices you have.
1. Short version
- Your books belong to you. We use them only to run the Service for your company.
- We don’t sell personal information, we don’t show ads, and we don’t use advertising or analytics trackers.
- Taxpayer ID numbers (Social Security numbers and EINs) are encrypted before we store them and are never sent to the AI Assistant.
- Bank connections are read-only. We never see or store your bank password.
- You can export everything and delete a company or your whole account yourself, in Settings. Deleted data leaves our live systems after a 7-day grace period, and our backups age out 7 days after that.
2. Two roles: your information, and the information in your books
For your own account (your name, email, sign-in and billing details), we decide how the information is used, and this policy applies directly.
Your books also hold information about other people: your customers, vendors, contractors and teammates. For that information we act as your service provider. We process it on your instructions, only to provide the Service, and you are responsible for having the right to collect it and for telling those people how you use it. If someone asks us about data a BookKeeper customer holds about them, we’ll refer them to that business and help it respond.
3. What we collect
Information you give us
- Account: email address, name, password (stored only as a one-way hash by our sign-in provider), two-step verification settings and recovery codes (also hashed), and your role on each company.
- Company and books: company profile and tax settings, chart of accounts, customers, vendors, invoices, receipts, payments, expenses, bills, recurring schedules, loans, bank rules, reconciliations, tax worksheets, sales tax returns, 1099 data and reports.
- Taxpayer ID numbers and W-9s: when you or your vendor fills in a W-9, we collect the legal name, address, tax classification and Social Security number or EIN. The number is encrypted (AES-256) before it is stored and is decrypted only to show it to you or print 1099 forms.
- Files: receipts, statements, W-9s and other documents you upload.
- Billing for BookKeeper itself: the plan you choose, your billing name, email and address, and Massachusetts sales tax charged. Your card is entered on Stripe’s page; we never see the full number.
- Friend invites: the name and email address of a friend you invite. We use them only to send that one invitation and to tell you whether your friend joined and earned you a reward. We never show you your friend’s books.
- Support: what you tell us when you email for help.
Information from services you connect
- Bank feeds through Stripe Financial Connections: read-only transactions and balances for the accounts you choose. Stripe handles the bank login.
- Mercury: read-only accounts, balances and transactions, using an API token you create in Mercury. We store the token encrypted.
- Your company’s Stripe account: payments, payouts, fees, refunds and disputes for invoices you collect online, plus the card or bank label (for example “Visa •••• 4242”) of methods your customers save. Card and bank numbers stay with Stripe.
- Square: locations, payments, payouts, orders and customers (read-only), to match deposits to sales.
- QuickBooks Online: customers, vendors, accounts, invoices, receipts, payments, expenses and bills you choose to import. We don’t import payroll.
Connection tokens are stored encrypted. You can disconnect any of them in Settings.
Information collected automatically
- Technical and security data: IP address, browser and device type, pages requested, timestamps and error logs, used to run and protect the Service and to limit abuse (for example, too many sign-in attempts).
- History: a log of changes to your books (who changed what, and when), which you can see and undo in History.
- Consent records: when you agree to these terms or to a plan’s renewal terms, we record the version, the wording shown, the time, your IP address and browser.
4. The AI Assistant
The Assistant is optional and can be turned off for a company. When it is on:
- To answer a question, it sends your question and the parts of your books it needs (for example bank lines, accounts and invoice totals) to our AI provider, Anthropic. Requests are processed in the United States.
- It never receives taxpayer ID numbers, W-9s, tax worksheets, or customer and vendor contact details.
- Files you attach are read in your browser. Account numbers, Social Security and tax ID numbers and similar identifiers are removed on your device before anything is sent. We keep the extracted lines (dates, amounts, descriptions, balances) for 90 days and don’t keep the original file.
- Under Anthropic’s commercial terms, your prompts are not used to train its models. Anthropic deletes them within 30 days, except where it must keep them longer to enforce its usage policies or comply with the law.
- We keep your chats until you delete them. Clearing a chat hides it but keeps an archived copy for support; only authorized Right Intent SI LLC staff can open it, and each access is logged. Deleting a chat removes it and its archive.
- The Assistant only proposes changes. Nothing in your books changes until someone with edit rights approves it.
5. How we use information
- To provide the Service: keep your books, connect your accounts, send the emails you ask us to send, and produce reports and tax worksheets.
- To bill you for BookKeeper and give referral rewards.
- To keep the Service and your account secure, prevent fraud and abuse, and fix problems.
- To send service messages: sign-up confirmations, security alerts, billing notices, and the reminders you turn on.
- To answer support requests. We look inside a company’s books only when you ask us to, to keep the Service secure, or when the law requires it.
- To comply with law and enforce our Terms.
We may use counts and statistics that don’t identify you or your company (for example, how many invoices are sent each month) to run and improve the Service. We don’t use one company’s books to serve another company.
6. Who we share information with
- Our service providers, only as needed to run the Service and under contracts that limit their use of it. They are listed, with what each receives, on our Subprocessors page.
- Services you connect (your bank through Stripe, Mercury, Square, QuickBooks, your own Stripe account). Their own terms and privacy policies apply to what they hold.
- People you choose: teammates you invite (according to their role), customers you send invoices or pay links to, and vendors you send W-9 requests to.
- Legal and safety: when required by law, subpoena or court order, or to protect the rights, property or safety of our users, the public or us. Where the law allows, we’ll tell you before we hand over your company’s data.
- A business transfer: if Right Intent SI LLC or the Service is sold or merged, information may transfer to the new owner, who must keep honoring this policy. We’ll tell you first.
We don’t sell personal information and don’t share it for cross-context behavioral advertising, as those terms are used in California law.
7. Cookies
We use only cookies that the Service needs to work: your sign-in session, the company you have open, a pending invitation, and a short-lived cookie while you connect Square. Google reCAPTCHA runs on the sign-in, sign-up and password-reset forms to block bots, and may set its own cookie and collect device data under Google’s Privacy Policy. Stripe’s payment pages set cookies to prevent fraud. We don’t use advertising or analytics cookies, so there is nothing to opt into or out of.
8. How long we keep information
- While your account is open: your books and files stay until you delete them.
- When you delete a company or your account: it is scheduled for 7 days, so you or another owner can cancel. Then it is removed from our live systems and you get a deletion certificate.
- Backups: our encrypted backups are kept for 7 days, so deleted data is gone from them within 7 days of the deletion. Backups are used only to recover from a disaster, and if we ever restored one, we would re-apply every deletion before anyone could see the data.
- Inactive Free companies: a Free company that nobody signs in to for 12 months may be deleted. We email the owners 60 and 30 days before.
- After a paid plan ends: the company moves to the Free plan where it’s available. Otherwise its books stay readable and exportable for 24 months, after which we may delete them after emailing the owners.
- AI: chats until you delete them; extracted file lines for 90 days; Anthropic’s copy for up to 30 days.
- Billing records for your BookKeeper subscription (what you paid, your billing name, email and address, and sales tax) for 7 years, because tax law requires it. We don’t keep your books for that purpose.
- A deletion record (when a deletion happened, by whom, and the counts removed, with none of the data itself), to prove the deletion and to re-apply it after any restore.
- Security and server logs only as long as needed to run the Service and investigate abuse.
Copies outside our control stay where they are: invoices and receipts already emailed to your customers, and data held by services you connected (your bank, Stripe, Square, Mercury, QuickBooks). Keeping your own tax records for as long as the IRS and your state require is your responsibility; export them before you delete.
9. Security
We protect information with encryption in transit and at rest, extra encryption for taxpayer ID numbers and connection tokens, database rules that keep each company’s data separate, two-step verification, and limited, logged staff access. Our safeguards are designed to meet Massachusetts’ data security regulation (201 CMR 17.00) for personal information such as Social Security and financial account numbers. More detail is on our Security page. No system is perfectly secure. If a breach affects your personal information, we will notify you and the authorities as the law requires, without unreasonable delay.
10. Your choices and rights
Wherever you live, you can:
- See and export your data: Settings → Import & export → Export everything gives you a ZIP of your books and files.
- Correct it: edit records in the app, or update your account details in Settings.
- Delete it: Settings → Company → Delete company, or Settings → Security → Delete my account.
- Ask us what personal information we hold about you, where it came from and who we shared it with, or ask us to delete or correct it, by emailing support@igoquick.com.
- Opt out of non-essential emails by using the link or instructions in the email. Service messages about security and billing still come.
We’ll answer within 45 days. We may need to confirm your identity first, usually by asking you to write from the email on your account. You can use an authorized agent if you give them written permission. If we decline a request, we’ll explain why, and you can reply to ask us to reconsider. We won’t treat you differently for using these rights. Residents of California and other states with privacy laws have these rights under those laws.
11. Who can use the Service
The Service is for businesses and adults 18 or older. It isn’t meant for children, and we don’t knowingly collect personal information from anyone under 18. If you believe a child has given us information, email support@igoquick.com and we’ll delete it.
12. Where data is stored
We and our providers store and process data in the United States. If you use the Service from outside the United States, your information will be transferred to and processed in the United States.
13. Changes to this policy
When we change this policy, we update the “Last updated” date. If a change is significant, we’ll email account owners or show a notice in the app at least 30 days before it takes effect, unless the change is required sooner by law.
